Terms and Conditions – From 2025
Inside Out Food & Drink Limited
- Booking Your Date with Inside Out Food & Drink Limited
- Clients are invited to attend a pre-booking tasting at our premises (Monday to Wednesday, between 12pm – 3pm). A charge of £50 + VAT applies, which is deductible from the final invoice upon booking. (Costs may vary depending on menu selection.)
- All event bookings must be confirmed in writing or via email by the Client.
- A booking deposit is required to secure Inside Out Food & Drink Limited for the event date. This deposit is non-refundable in the event of cancellation (see section 7).
- By paying the deposit, the Client confirms full acceptance of these Terms and Conditions, which are clearly available on our website and linked at the bottom of every proposal.
- Booking Deposit
- The deposit amount will be provided to the Client in writing by Inside Out upon confirmation of the booking. This deposit will be deducted from the total event cost, which will be issued no later than two months prior to the event (see Payment Terms, section 6).
- Accepted payment methods: bank transfer, debit/credit card, cheque, or cash.
- Additional Deposit
An additional deposit may be required for any outsourced hire equipment (e.g. glassware, crockery, utensils) provided by Inside Out for use at the event.
- Booking Confirmation
- Once the Client’s deposit has been received, the amount will be deducted from the total event cost.
- An updated quote reflecting the deposit will be provided to the Client.
- By paying the deposit, the Client confirms their agreement to Inside Out’s full Terms and Conditions.
- A confirmation email will be issued summarising the agreed menu, guest numbers, and event details.
- Variations to the Price
- All bookings are subject to minimum guest numbers or total spend, confirmed at the time of booking.
- Variations to children’s menus must be discussed with Inside Out as early as possible to allow revisions.
- Inside Out reserves the right to apply reasonable price increases due to supplier, inflationary, or market cost changes. Any increases will be communicated to the Client as soon as possible.
- Payment of Total Event Costs
- Final guest numbers must be confirmed no later than two months before the event. This will be used to issue the total event cost invoice.
- Full payment is required no later than one month prior to the event. We are happy to accommodate increases in numbers after this point, but no reductions can be made.
- Changes requested within two weeks of the event are at Inside Out’s discretion. Any additional costs will be invoiced post-event and payment will be due immediately.
- Additional costs incurred as a result of the Client’s actions or overruns (e.g. excessive glassware breakage, additional staff hours, or equipment loss) will be invoiced post-event and payment will be due within 7 days.
- Cancellation Charges
- Cancellations must be made in writing or by email. The deposit is non-refundable.
- The following charges will apply:
- Cancellation less than two months prior to the event: 50% of the total event cost
- Cancellation less than one month prior to the event: 100% of the total event cost
- The total event cost will be calculated based on confirmed guest numbers and agreed per-head pricing. If guest numbers are unconfirmed, the calculation will be based on the quoted or estimated numbers.
- Any additional costs already incurred by Inside Out in preparation for the event (e.g. licences, administration, travel, supplies) will also be charged.
- Dietary Requirements and Allergies
Inside Out will endeavour to accommodate all notified dietary requirements and allergies. We cannot accept responsibility for guests unless notified in advance (no later than one month prior to the event).
- Client’s Food and Drinks
- Inside Out accepts no liability for any food supplied by another caterer or by the Client.
- Where the Client arranges additional catering (e.g. evening pizza van), Inside Out will require a completed Food Disclaimer Form no later than one month before the event.
- Inside Out is happy to serve Client-supplied drinks (arrival, table wines, etc.), subject to a corkage fee of £2.50 per adult.
- Bar Licensing & Client Alcohol
- Inside Out operates in full compliance with the Licensing (Scotland) Act 2005 and our premises/personal licence conditions.
- Where Inside Out provides a bar service, Client-supplied alcohol (e.g. table wines, toast drinks) must be removed from the service area once the bar opens after dinner.
- Any breach of licensing laws — including unauthorised consumption of Client alcohol during bar service — may result in closure of the bar and/or removal of alcohol from the premises.
- Client’s Use of Inside Out Property or Hire Equipment
The Client agrees to pay for any loss or damage to equipment, crockery, cutlery, or glassware supplied by Inside Out, including damages caused by guests.
- Liability of Inside Out
Inside Out accepts no liability (whether due to negligence or otherwise) for any loss exceeding the value covered by our current Public Liability Insurance. The current indemnity limit is available upon request.
- GDPR and Privacy Policy
Inside Out complies fully with the General Data Protection Regulation (GDPR). Personal data will never be shared with third parties.
- Force Majeure
Inside Out shall not be liable for any failure to perform due to circumstances beyond our control, including but not limited to fire, transport, flood, strike, accident, or acts of nature.
- Future Changes
Inside Out reserves the right to amend these Terms and Conditions at any time. It is the Client’s responsibility to ensure they are familiar with the most recent version.
- Marketing & Social Media
Inside Out Food & Drink Limited has a sister company, BODA – Event Management. By agreeing to these Terms and Conditions through payment of your deposit, you grant permission for Inside Out and BODA to use photographs from your event across our social media platforms and marketing materials. This is always done respectfully and with the intention of showcasing our services.
